A pro forma invoice is intended for orders that need to be approved and paid in advance. We mainly offer this payment method to organisations, schools and companies that need internal approval before a payment can be made.
A pro forma invoice looks almost the same as a regular invoice. It includes all order details, the total amount and our payment information.
The main difference is that it does not yet have a final invoice number. The official invoice number is only created once the order has been processed.
You can use the pro forma invoice, for example, to:
get internal approval for the order;
complete your organisation’s purchasing procedure;
have the payment processed by your finance department.
Payment by pro forma invoice is always a form of prepayment.
Once the order has been approved, the amount must first be transferred to us. As soon as we have received the payment, we will process and ship the order.
The order is therefore not shipped first and paid afterwards. A pro forma invoice is not the same as buying on account or paying after delivery.
Some organisations are not allowed to make advance payments due to their internal procedures.
Payment on account is only available to organisations in the Netherlands. For organisations outside the Netherlands, payment by pro forma invoice is therefore often the only available option besides paying directly through our webshop.
If your organisation cannot pay in advance and is not eligible for payment on account, we unfortunately cannot process the order using a pro forma invoice.
Once we have received the payment and processed the order, you will receive the final invoice with the official invoice number for your records.
